Services
Our approach is to work with you in the evaluation and selection phase so as to provide
your organisation with an appropriate system for your needs. It is as important to us as
it is to you, that the right system is selected.
As no one product is
suitable for all business environments, we are value-added resellers (VAR) for a range of
different software packages. These systems are installed in various types of businesses
including distribution, service, manufacturing and financial organisations.
To this end we
take the following approach:
Review business requirements and
needs analysis
This is the first stage to ascertain what your requirements are and if we are able to
provide assistance. This generally involves meeting for an initial discussion and
typically takes one to two hours. Once we have established the basis that we can assist in
providing a system, we are then involved in a more detailed review process. If we are
unable to help, we can quite often make suggestions as to an appropriate company to talk
to.
Demonstration
Once your requirements are understood, we would then proceed with a product demonstration.
The demonstration is based around your particular needs and is designed to satisfy
everyone that the system is appropriate for their business requirements.
Proposal and implementation budget
A comprehensive proposal is presented for consideration, which outlines all associated
system purchase and implementation costs, including realistic budgets for implementation,
setup and training.
The first three stages in
the cycle are provided at no cost.
Project management
The first meeting after the selection of the system revolves around establishing
responsibilities, the time frame for project completion, and assigning the necessary
resources to meet sign-offs. On a regular basis we would review the progress of the
implementation to measure our time scale and budgeted hours. In this way we can avoid
costly over runs and address other issues promptly.
Implementation and setup
This phase of the installation involves the analysis of your requirements and how DSP will
engineer the software parameters to meet these needs. While the software supplied is an
"off-the-shelf" system, its sophistication allows for numerous ways of
configuring data structures and integration to achieve the desired result. The setup
includes such things as; master file structures, integration of sub modules to General
Ledger, chart of account structures, how sales tax is calculated, sales analysis reporting
as well as establishing procedures for balancing the system.
Pre-sales meetings
establish the suitability of the software for your organisation with many of the items
above being discussed. The time spent on implementation and set up after the software
purchase is critical to achieve the maximum benefits and return on your investment.
Business accounting software is not like a word processor, where you can just start
typing, proper analysis and design achieve the best results before starting the system.
Training
This phase of the installation involves providing your staff with the necessary knowledge
to perform their assigned tasks. We would typically start the training with a review of
the software, concepts of integration and familiarising staff with getting around the
package. Training can be defined as how to enter information, produce reports, use the
software and balance the system.
Training is provided on
site in the operators normal working environment. We would suggest sessions be kept
to a maximum of 2 - 3 hours allowing staff to continue with their normal duties at
completion of a session. We have found people tend to lose concentration and retention of
information is reduced if the training is any longer.
Unless otherwise stated we
are only estimating the training requirements for the accounting package and have not
included any time for hardware, operating system or office productivity packages that may
be used.
Support Services
It is our objective to have your staff as self-sufficient as possible however, all
business accounting software requires ongoing maintenance and service. Areas that are
typically addressed after the installation and training are; data corruption issues,
hardware failure, software updates, software errors, operator errors, assisting operators
with queries on software functions, and training new staff. DSP provide our clients with
complete after sale service and support. This service can be provided by on site visits,
phone, e-mail, fax or via modem connection. We strongly recommend our clients install a
suitable modem with PcAnywhere communication software installed. A modem affords DSP with
easy and quick access to your system with out the need to travel to and from your
business.
All calls for assistance
are logged and documented for your invoice at the end of the month. Our staff are
available during normal business hours by contacting our office. Clients are kept up to
date with enhancements to software packages, tips and general information by our quarterly
newsletter and web site. |
